Site Requirements & Access:
- Sites come in (3m x 3m) or (3m x 6m).
- Sites are unpowered and do not have access to mains water
- Alpine Resorts Victoria (ARV) has expressly banned the staking of marquees in grassed areas due to gas and water mains lines running beneath the Downhill and XCO race villages. You must bring weights to secure your team tent.
- Site holders are responsible for ensuring the safe and secure installation of your team tent. The site holder is liable for any damage caused by unsecure or incorrectly installed structures or furniture.
- It is the responsibility of the site holder to ensure that the site is kept clean, tidy and presentable at all times and that their site is clean, free of rubbish and is undamaged upon departure from the event.
- One (1) vehicle permit per site will be issued. This permit allows one vehicle to move through the DH and XCO race villages during set times outlined in the exhibition guide. Parking vehicles in the race village as part of a site set up is discouraged as vehicles will be locked into the site for the duration of the event.

Team Tents
Cost:
- 3m x 3m site - $200.00 AUD
- 3m x 6m site - $300.00 AUD

Vendors and Exhibition Site
Important Information:
- All vendors and Expo sites can be booked via this portal.

There is a limit of one (1) site per expo / vendor. They are free to book.
- Once you have completed your order for a Expo / Vendor site. AusCycling will reach out via email to seek the following documentation;
- Evidence of Public Liability Insurance
- Description of Vendor / Exhibitor and wares
- Promotional material that may be used in event program.
- Details regarding your specific set up.
- Failure to provide the above documentation may result in your booking being cancelled. AusCycling reserves the right to reject or cancel any booking made via this portal at any time for any reason.
- The vendor and Exhibitor sites MUST NOT be used for team tent bookings.

Legal Information:
Neither AusCycling nor the host venue, operations team or any of their staff, employees, agents or representatives shall be held accountable for or liable for - and the same are released from accountability or liability - for any damage, loss, harm or injury to their person or any property at the event, however caused.
Goods Insurance
AusCycling does not provide an insurance policy which covers exhibitors’ goods. All Pit and Expo site attendees are advised to extend their Property Insurance Policy to cover any potential loss of stock and display equipment due to theft or damages.
Public Liability Insurance
All standalone businesses, who do not have affiliation with AusCycling, occupying pit or exhibitor sites must have public liability insurance cover to a minimum of twenty million dollars (AUD). This should be arranged through your insurance provider, agent or insurance company prior to the event. AusCycling reserves the right to check all exhibitors for proof of insurance and will act accordingly if proof of a suitable level of public liability insurance is not presented upon request. Please note that AusCycling insurance does not cover individuals for this purpose.
